Commissariat of the Holy Land in Canada is a federally and provincially incorporated charitable religious organization committed to respecting and protecting the privacy of donors, members, subscribers, volunteers, and all individuals who entrust us with personal information. This policy explains how we collect, use, disclose, retain, protect, and destroy personal information in accordance with applicable Canadian and Québec laws, including Québec's Act respecting the protection of personal information in the private sector (Law 25).

2. Person Responsible for the Protection of Personal Information

In accordance with Law 25, the President of the Corporation is responsible for the protection of personal information. The President may delegate this responsibility in writing to another officer of the Corporation.

3. Personal Information We Collect

Depending on our activities, we may collect the following personal information:

• Name and contact information (address, email, telephone number);

• Donation and payment information;

• Information required to issue charitable tax receipts;

• Information provided for prayer memberships, spiritual enrolments, or participation in the religious life and apostolic works of the organization;

• Magazine subscription information;

• Correspondence and communications with the organization.

We collect only the information reasonably necessary for the purposes described below.

4. Purposes for Collection

Personal information is collected and used to:

• process donations and issue charitable tax receipts;

• maintain financial and donor records required by law;

• administer prayer memberships, spiritual enrolments, and related spiritual benefits;

• manage magazine subscriptions and mailings;

• communicate with donors, members, subscribers, and supporters;

• respond to inquiries and requests;

• fulfill the religious, charitable, and administrative mission of the organization; and

• comply with legal and regulatory obligations.

Personal information provided in connection with prayer memberships, spiritual enrolments, or participation in the religious life and apostolic works of the organization is collected solely forthe administration of those programs and for maintaining the relationship between the organization and its members and benefactors.

5. Consent

By providing personal information to the organization, individuals consent to its collection, use, retention, and disclosure for the purposes identified in this Policy, unless otherwise required by law. Consent may be withdrawn at any time, subject to legal or contractual restrictions.

6. Disclosure of Personal Information

The organization does not sell, rent, or trade personal information. Personal information may be shared with trusted service providers who assist us in carrying out our activities, including:

• Donation processing platforms (including CanadaHelps and Zeffy)

• Payment processors

• Mailing, printing, and subscription services

• Information technology providers

These service providers are required to protect personal information and use it only for authorized purposes. Personal information may also be disclosed where required by law.

7. Online Donations and Payments

When donations are made through third-party platforms such as Zeffy or through electronic payment services, personal information may be collected and processed by those providers in accordance with their own privacy policies and security practices. We encourage users to review the privacy policies of these providers.

8. Retention and Destruction of Personal Information

Personal information is retained only for as long as necessary to fulfill the purposes for which it was collected and to comply with legal, accounting, charitable, and regulatory obligations. The organization maintains an internal Retention and Destruction Policy governing the secure storage, retention periods, and destruction of records containing personal information.

9. Security Measures

We take reasonable administrative, technical, and physical measures to protect personal information against loss, theft, unauthorized access, disclosure, copying, use, or modification.

10. Confidentiality Incidents

If a confidentiality incident involving personal information presents a risk of serious injury, the organization will take reasonable measures to reduce the risk of harm and will provide any notifications required by applicable law, including notifications to the Commission d'accès à l'information du Québec and affected individuals where required.

11. Access, Correction, and Withdrawal of Consent

Individuals may request access to the personal information we hold about them and may request corrections if the information is inaccurate, incomplete, or outdated.Requests may be submitted to the Person Responsible for the Protection of Personal Information identified above.

12. Website and Cookies

Our website may use cookies, analytics tools, or similar technologies to improve website functionality and understand website usage. Users may configure their browsers to refuse cookies, although some website features may not function properly.
